Stilling Minds respects your privacy and is committed to protecting your personal and health information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What information we collect
We may collect information including your name, contact details, booking and payment information, and information about your health and wellbeing that you provide in connection with your Reiki sessions.
Treatment notes may include the date and nature of the session, observations, information you provide during the session and any agreed follow-up recommendations.
How we collect and use your information
Information may be collected through our website, enquiries, bookings, our electronic client consent and intake form, appointments and communications with you.
We use your information to:
provide and manage Reiki services
manage appointments and payments
communicate with you about appointments and services
maintain appropriate treatment records
manage our business, accounting, insurance and legal obligations
respond to enquiries, complaints or requests.
Your health and wellbeing information will not be used for marketing.
Marketing
With your consent, we may use your contact details to send information about Stilling Minds, services, appointments, promotions and other relevant communications.
You can opt out of marketing communications at any time.
Third-party services
We use third-party service providers to operate Stilling Minds, including:
Square – appointment booking and payment processing
Jotform – electronic client consent and intake forms
Google Workspace – email and secure cloud storage
GoDaddy – website hosting
Thriday – accounting and business administration.
These providers may process or store information outside Australia. We take reasonable steps to use providers that have appropriate privacy and security arrangements.
Disclosure of information
We will only disclose your personal information where reasonably necessary for providing our services, managing our business, using our service providers, or where required or authorised by law.
We will not disclose your health or wellbeing information to another person or organisation without your consent, unless disclosure is permitted or required by law.
Security and retention
Client records are maintained electronically. We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
We retain information only for as long as reasonably necessary to provide our services and meet our legal, insurance, accounting and business obligations. When information is no longer required, it will be securely deleted or de-identified where appropriate.
